Calendar Functions

There are three main functions in your Perfect Venue Calendar:

  1. Notes
  2. Recurring events
  3. Filters

Why should I use Calendar Notes?

Calendar notes are a great tool to use if you are closed for one-off holidays, staffing events, etc. These notes can block availability for your entire venue or for specific spaces, depending on your needs and what you choose. 

How can I create a Note?

To create a Note, head into your calendar and click on the pencil icon in the top right corner.

Next, add in Note details such as Name, Date, Time, and Space(s). 

If you want to block off availability with the note, hit the "Blocks Availability" checkbox to avoid double bookings and hit save!

When Should I Add a Recurring Event?

Recurring events on the calendar are helpful if you host special events on a weekly or monthly basis. A recurring event will block off availability for the space it is assigned to on the day and time you choose, every week or month.

How do I create a Recurring Event?

Head into your calendar and click the loop arrow icon in the top right corner, next to the Note button. 

Next, add in the details of the recurring event and hit save!

Tip: Make sure to add in a Name, Date, Time, Frequency, Venue (if you have multiple), and Space to ensure it won't be double booked!

Once you have saved your recurring event, it will automatically populate into your Perfect Venue calendar based on the criteria you have set and will look like the image below.

Note: Currently, the system does not allow users to edit or delete one recurring event within a group, without changing all. If you would like to be able to edit one recurring event, please submit a vote here and you will be notified if we decide to move forward with the feature request!

How can I filter my calendar?

In your perfect venue calendar, you have the ability to filter by Status, Owner, and Type.

To apply filters to your calendar, head into Calendar and view filters on the left hand side.

Next, click the checkbox next to what you'd like to filter out and the calendar will automatically reflect these choices.

A checked box mean that it is being shown on the Calendar, an open box means it is hidden.

Note: When these filters are applied, they will only apply for your profile, creating a custom view.
